Roles & Permissions

Control who can see and do what in HRMGridSystem. Assign roles to employees so each person has access only to the modules and actions they need.

Default Roles

Every organization starts with two built-in roles:

  • Admin — full access to all modules, settings, and employee data.
  • Employee — self-service access: own attendance, leave, payslips, profile, projects, and performance.

Most organizations create additional custom roles to match their structure.

Common Custom Roles

Examples of roles you might create:

  • HR Manager — employee management, payroll, recruitment, onboarding, and reports.
  • Department Manager — team leave/attendance approvals, performance reviews, and project oversight.
  • Recruiter — recruitment module only (jobs, candidates, interviews).
  • Finance — payroll, payslips, loans, PF, taxes, and financial reports.

Creating a Custom Role

  1. Go to Roles in the sidebar (under Administration).
  2. Click to create a new role.
  3. Give it a name and description.
  4. Select permissions from the list — organized by module.
  5. Save the role.

Permission Categories

Permissions are grouped by module. For each module you can grant access such as:

  • View lists and records
  • Create and edit records
  • Approve requests (leave, attendance, loans)
  • Manage settings and configuration
  • Access reports and exports

Assigning Roles to Employees

Assign a role when creating a new employee, or update it later from the employee's profile or account settings. An employee typically has one primary role, but multiple roles can be assigned if needed.

Plan Features

In addition to role permissions, some modules are enabled or disabled based on your organization's subscription plan. If a module is missing from the sidebar, contact your platform administrator.
