Employment Contracts

NaviHR keeps two related records. Finance → Contract is the salary record used for payroll. Employees → Contract Templates is the employment agreement employees review and sign after they complete their profile.

Payroll contracts

Go to Finance → Contract to set wage, dates, and status for payroll. You can also see the active payroll contract on an employee’s profile.

Agreement templates

Go to Employees → Contract Templates to write the document employees will sign. Open Add template or Edit for a full page with the editor on the left and a live A4-style preview on the right. Keep one Default template, and add extra templates for one or more departments when those teams need different wording.

  1. Use Create template or edit an existing one. The document is split into sections (Parties, Ethics, Confidentiality, and so on). Select a section to edit its title and wording without opening the whole document as one block.
  2. On a template you can Add section, delete any section (including defaults), turn a section off, or reorder. That change applies only to that template.
  3. Use Reset this section to company default when you want one clause back, or Reset to defaults to replace the whole template with a fresh copy of the company starter set.
  4. Place Employee signature area (Insert field) where the signature image should appear. If you remove Acknowledgement, add those fields to another section.
  5. NaviHR includes a Company terms & policy starter covering header, parties, employment terms, compensation, bank details, duties, hours, confidentiality, ethics, benefits, termination, and acknowledgement. It stays inactive until HR reviews it and turns Active on.
  6. Turn on Require employees to sign after profile is complete only after the default (or a department template) is active and ready.

Default sections

Open Employees → Contract Templates → Default sections to edit the company starter set. Add extra default clauses, delete ones you do not need, rename, reorder, or rewrite Ethics and the rest. New templates copy whatever is there at the time you create them. Templates you already saved do not change.

After that, an employee who finishes their profile is asked to sign. The system picks the department template when there is one, otherwise the default. Missing fields in the document stay blank. Inactive templates are never issued, so employees stay unlocked until HR activates a template. Signed copies stay frozen even if you later edit sections.

How employees sign

  1. Complete their profile (and change the default password if asked).
  2. Open the agreement. The document is shown as a page preview — review the filled details, then upload an image of their signature in the panel beside it. The image appears in the signature box right away.
  3. Tick the confirmation and submit. NaviHR stores a PDF of the signed document.

Employees can download the signed PDF from My Profile.

Sign pending and Signed

On Employees → List Employees, the Agreement column shows Sign pending or Signed. The same badge appears at the top of the employee detail page, next to a separate Employment Agreement panel (this is not the payroll contract). Filter the list by Sign pending or Signed when you need a quick follow-up.

Connection to payroll

The wage on the active Finance contract is still the basis for monthly salary. Agreement templates can print that salary into the signed document; they do not replace the payroll contract.
