Onboarding

Give every new hire a structured start with onboarding plans, task checklists, and document collection — so nothing falls through the cracks before Day 1.

How Onboarding Works

Onboarding in HRMGridSystem follows a plan-and-task model:

  • Plans — reusable templates (for example, "Full-Time Employee Onboarding").
  • Tasks — individual steps assigned to HR, IT, Admin, or the new hire.
  • Onboardings — active onboarding cases linked to a specific employee.

Setting Up Onboarding Plans

  1. Go to Onboarding → Plans and create a plan template.
  2. Go to Onboarding → Tasks and build your task library (Create email account, Issue laptop, Collect signed documents, etc.).
  3. Assign tasks to the plan with due dates and responsible roles.

Starting an Onboarding

You can start onboarding in two ways:

  • From Recruitment — when a candidate is marked as Hired, start their onboarding case.
  • Manually — go to Onboarding → Onboardings and create a new case for any employee.

Onboarding Board

The Onboarding Board shows all active onboarding cases on a visual board. Drag tasks between columns (To Do, In Progress, Done) to track progress at a glance.

Documents

Under Onboarding → Documents, define which documents new hires must submit (ID proof, educational certificates, signed policies). Track collection status for each person.

Employee Experience

New hires see their assigned tasks under Complete Onboarding in the sidebar (or at /employee/onboarding). They can mark tasks complete, upload documents, and see what is still pending before their start date.

Typical Onboarding Flow

  1. Candidate is hired through Recruitment.
  2. HR starts an onboarding case and assigns a plan.
  3. IT, Admin, and HR complete their tasks (accounts, equipment, paperwork).
  4. New hire completes their tasks (forms, document uploads, policy acknowledgments).
  5. All tasks done — employee is fully onboarded and ready for Day 1.
