Provident Fund

Track employee and employer provident fund contributions, view balances, and generate reports for compliance — automatically applied during payroll.

What is Provident Fund?

Provident Fund (PF) is a retirement savings scheme where both the employee and employer contribute a percentage of the employee's salary each month. Contributions are deducted automatically when payslips are generated.

Setting Up PF

Configure PF rules under System Settings → Provident Fund:

  • Employee contribution rate (for example, 12% of basic salary).
  • Employer contribution rate.
  • Which salary components PF applies to.

Enable PF for individual employees in their profile when they join the scheme.

Viewing PF Records

  • My Provident Fund — employees see their personal PF balance and contribution history.
  • All Provident Fund — HR and finance see company-wide PF records for all enrolled employees.

Both are accessible from the Finance section in the sidebar.

How Contributions Work

Each month when payslips are processed:

  1. The employee's share is deducted from their gross salary.
  2. The employer's share is recorded as a company contribution.
  3. Both amounts are added to the employee's PF ledger balance.

PF Reports

Generate monthly PF reports from Reports → Provident Fund Report for submission to authorities or internal audit.
